Plans change. The schedule below is what we apply when you can no longer attend and don't have a colleague available to take your seat. We've tried to keep it predictable so you can decide early.
1. Free substitution up to 7 days before the event
If the person originally registered can't make it, you can hand the seat to a colleague at no charge until 9 September 2026. Email hello@hybridgeglobal.com with the new attendee's details and we will reissue the badge and, if needed, the invoice.
2. More than 50 days before the event
On or before 28 July 2026. We will refund your registration minus an administrative fee of €390 per delegate. This covers booking-platform fees, catering guarantees and pre-event materials already commissioned in your name.
3. Between 50 and 20 days before the event
From 29 July to 27 August 2026. A cash refund is no longer possible at this point, but your booking may be transferred in full to the HYBRIDGE 2027 edition at a transfer fee of €450 per delegate. The seat keeps its original tier — an early-bird registration stays early-bird in 2027.
4. Within the final 20 days, and no-shows
From 28 August 2026 onward. Registrations are non-refundable and non-transferable. By this stage your share of the venue capacity, catering, on-site materials and staff has been committed and we are unable to recover those costs. The same applies if you simply do not show up.
5. Cancellation by the organiser
If HYBRIDGE itself has to cancel or materially reschedule for reasons outside our control, the force-majeure clause in section 5 of the terms of use applies: registrants receive a full credit toward the next edition or a refund minus unavoidable third-party costs already committed on their behalf.
6. How to give notice
All cancellation and transfer requests must be sent in writing to hello@hybridgeglobal.com from the email address used at registration (or with that address in copy). The date we receive the email is the date used to apply the schedule above.
7. When refunds are processed
Approved refunds are issued after the event closes, against the same payment method or bank account used at registration. We aim to release them within 30 days of the conference.
8. Group registrations
For group bookings, the schedule above applies per delegate. You can cancel one seat in a group of three without affecting the other two — the remaining seats keep their group-tier price.
